Talent Assistant (Faces & Voices) £28,000 per annum - 12 month Fixed Term Contract

About the role
As Talent Assistant you will provide seamless administrative, operational, and coordination support across all four pillars of the Faces & Voices strategy. Working closely with the Talent Manager, you will help manage relationships with creators, influencers, and talent partners while keeping projects running efficiently day-to-day.

As a Team Assistant you will;
Creator, Talent & Influencer Coordination
- Act as a first point of contact for creators within the business as well as external talent agents.
- Support the Talent Manager with managing internal creators across the business.
- Assist in sourcing, contacting, and coordinating celebrity talent, creators, and influencers for editorial, commercial, and event projects.
- Coordinate creator schedules, filming dates, deliverables, briefs, onboarding documents, and logistics.
- Prepare call sheets, itineraries, and supporting documents for shoots and appearances.
- Maintain the talent database, keeping contact details, fees, and availability up to date.
- Support with preparing briefs and gathering assets from creators.
Programme & Project Operations
- Manage calendars, meeting bookings, travel arrangements, and day-to-day programme logistics.
- Help organise and support workshops, bootcamps, coaching sessions, events, and shoots.
- Track creator deliverables, approvals, timelines, and follow-ups as required.
- Keep programme materials and documentation updated for Faces & Voices team.
Cross-Team Collaboration
- Liaise with editorial, social, video, marketing, commercial, and legal teams to ensure clear communication flows.
- Support the Talent Manager in preparing internal decks, creator and partnership reports.
- Collaborate with production teams to ensure a smooth and positive creator and talent experience on set.
Data, Reporting & Admin
- Update performance dashboards (views, engagement, reach, etc.) and support analytics needs.
- Collect creator insights for internal reporting and campaigns.
- Assist with quarterly creator reviews and Faces & Voices performance summaries.
- Raise POs, process invoices, manage payments, and track budgets.
- Support inbox management and organise documentation, contracts, permissions, and correspondence
Requirements
- Strong organisational skills and a love of logistics.
- Excellent attention to detail and the ability to track multiple moving parts.
- Confident communication skills with a wide range of people: creators, managers, talent, and teams.
- A proactive attitude, willingness to learn, and a calm, solution-focused approach.
- Interest in creators, social media, culture, entertainment, talent management, and storytelling.
- Ability to work in a fast-paced environment and manage competing priorities.
- Experience in talent, social media, content, events, entertainment, or publishing is helpful but not essential.
- Proficiency in Microsoft Office / Google Workspace.
